Increase Roadshow Allowance Payment
Note name change – previously incorrectly described as Roadshow Expenses
George has suggested an addition to the 2025 AGM agenda to discuss the possibility of increasing the Roadshow Allowance Payment.
Rather than have an open online discussion a better approach will be for the committee to discuss this option and should a change be approved then add it to the agenda for ratification.
As a reminder the relevant sections of the Roadshow Policy and Rules are Section 6 and section 6.1.
6. Roadshow Team members attending public events agreed by the REM may be paid a Roadshow Allowance. This allowance is a contribution to help offset the costs of hotel rooms, transport and food and will be restricted to public events. This will not include our own internal ‘Summer Meets’ as the OOLS Club does not directly benefit from our own get-togethers.
6.1. £60 per person per hotel night. (A hotel night is defined as a one-night hotel stay plus one day’s service with the Roadshow, either setup or a show day). No receipts required. At the Roadshow Manager's discretion, the Roadshow Allowance contribution may be increased/decreased subject to unusually higher/lower than expected costs for a particular event.
Discussion points
The allowance was never intended to be expenses and is provided as a contribution to help offset the costs of hotel rooms, transport and food.
Current costs for attending eight shows a year are roughly £8,000 to £9,000
Currently the club finances stand at just under £20,000

As a separate issue Val is currently revieing the wording of the Roadshow Policy & Rules to ensure clarity). The amended Policy will be posted in due course for committee review and approval


Maybe a sliding scale, booked for Doncaster 2 nights @ £145 which i think is reasonable unlike Ruddington still thinking where to stay as the premier inns prices are through the roof at well over £100 per night !
